    How to Log Hours and Submit Weekly Timesheets

    Log hours throughout the week, submit each completed week for student approval, and understand the payout timing.

    Step-by-step guide

      Open the engagement

      From the Instructor Dashboard, open Resume Session / Interview Session / On Job Support and find the active engagement. Each engagement shows a Weekly Timesheets block grouped by week (Mon–Sun by default; biweekly if that was selected at booking).

      Log hours

      On the current open week, click 'Log Hours'. Enter the hours worked, a short description, and optionally attach reference files. Repeat as work happens during the week — each entry rolls into that week's running total. If the service has student-logged hours enabled, the student logs entries and you Approve or Reject each one.

      Submit the week

      When the week is done (or you're ready to bill), click 'Submit Week'. The timesheet moves to 'Pending Approval' with a 24-hour timer. The student gets an email and reviews the week's entries, attachments, and notes before approving.

      How payment flows

      On approval, the student's saved card is charged off-session for the week's student-total. Tutrx then waits for the Stripe charge to actually settle into our bank (usually ~T+2 business days), at which point we fire your Wise payout. Until settlement, the week shows 'Awaiting payout' with an expected arrival date.

      Auto-approval safety net

      If the student doesn't act within 24 hours of submission, the week auto-approves and we attempt the charge automatically. If the charge fails (expired card, etc.), the week is flagged 'Payment failed' so the student can fix it without you losing the submission.

      Closing out

      When the work is done, ask the student to click 'End Engagement' on their dashboard. The engagement moves to Completed, unused hour-cap escrow refunds to the student, and you're invited to review the student. All weekly timesheets, attachments, and notes stay visible on the past-engagement card.
